Auto Rendezvous Self Drive Hire Terms and Conditions

We reserve the right to refuse to hire any vehicle at our sole discretion.

Hirer/Driver own vehicle may be stored at our premises entirely at own risk

This agreement is a contract subject to English Law and to the exclusive jurisdiction of the English courts

Nothing in these terms and conditions  shall limit or exclude our liability for death or personal injury caused by our negligence, for fraud or for any other liability that cannot be lawfully excluded.

Subject to the above, our total liability in, contract, tort (including negligence) or otherwise, howsoever arising, under this contract shall be limited to the total sum payable to us, as set out in the hire contract. We cannot be held liable for any consequeincial or indirect loss caused by an event making the car unavaliable; including but not limited to breakdown; accident, howsoever caused; bad weather making driving unsafe . We recommend that clients take out insurance against the hire being foreshortened or canceled by such events.

We will not be liable for any failure to perform, or delay in performance of, any of our obligations that is caused by an event outside our reasonable control.

The driver must:

- Held a full UK license for  more than 2 years. Non UK driving license holders may still hire our vehicles at the discretion of our insurers.

- Have not more than 6 points on their license.

- Have not committed a serious offense at anytime.

- Have not had their license suspended in the last 3 years.

- Have not more than 1 claim for accidents or loss during the last 3 years.

- Be in possession of a valid driving license that we will require sight of and provide proof of points via the .gov.uk website.

- Be aged between 25 and 79 years old.

- Not have been refused insurance at any time, nor has had their insurance cancelled.

- Consent to verification of the information provided to us via DVLA or any other source.

- Disclose all relevant information on our Insurance Proposal form as failure to do so may render our insurance policy invalid or result in rejection of any claim. If you also fail to adhere to these terms and conditions relating to use of the vehicle we will hold you solely responsible for any loses, including consequential loss and third part claim, damages and legal fees resultant (including any inspection of the car for damage following misuse) for which you agree to indemnify us.

- Provide a security deposit at the time of hire. We reserve the right to increase the security deposit if required by our insurer. This will be in the form of a debit or credit card for which we will obtain a pre- authorised code for the surety amount. This will cover any excess due in respect of the items not covered by our insurance, including: damage to tyres, clutch or wheels. Other additional charges will be incurred if the vehicle returned with a petrol tank shortfall. If no additional charges are due the security deposit will be returned in full to the Customer.

- Provide two forms of identification, in addition to original driving license, of which one must be photographic and the other must identify the drivers current permanent residence which must match the address on driving license. Originals must be available on the day of the hire. In addition to the driving license we require a driver record downloaded and dated within one week from the DVLA website.

- Be responsible for any fines, penalties, court costs or other expenses imposed on us arising from the use of the vehicle during the hire period, except insofar that the court action is the fault of Auto Rendezvous LTD 

- Indemnify Auto Rendezvous LTD in the event of any parking fines and/or loss of earnings whilst the vehicle is impounded as a result of the fault of the driver.

- Be fit to drive and not  be under the influence of alcohol or drugs whilst using the vehicle. Drugs shall be deemed to include any medication, prescribed or not, which on the written advice of the supplier may cause drowsiness.

The Customer Must:

- Provide a £250 deposit at the time of booking to secure the vehicle of choice. The balance of hire charge is payable on the day. No vehicle will be released without the full balance of hire as well as a pre-authorisation of  £1500 minimum.

- Nominate Driver(s) at time of booking. Additional Drivers may be added at an additional charge per person, per day, provided they meet the criteria above in full.

- Consent to verification of information provided by you via credit agencies or any other source.

- Under the General Data Protection Regulation 2018 consent to records being held in order that we can apprise client of our other offers and services and retain to comply with insurance and financial regulations. please see our Privacy Policy.

- Give at least 14 days notice of cancellation for which an administrative charge of £100 will be administered. Notice given less than 14 days from the date of hire will incur the full Hire charge of the vehicle and no refund will be due.

- Be responsible for their personal property left on our premises or in our vehicle. We will not be liable for any loss or damage unless it can be shown to be the result of our negligence.

- A booking will be deemed as acceptance of the terms and conditions above

- All drivers must be present for the handover at the start and end of the hire duration.

- Provide a rough plan of the route and use of they the vehicle if not our organised tour.

The Vehicle Must:

- Not be driven by anyone other than the Nominated Drivers.

- Not be Left with the keys inside the vehicle.

- Driven recklessly in a manner likely to cause personal injury, damage to the vehicle or any third party  including driving through any ford or flood water. Our vehicles are fitted with telemetry and trackers - this will allow us to view real time driver behavior and if, in our opinion, damaged is caused through speeding or harsh acceleration the driver will be fully liable for the damage. If the driver is responsible for any damage unrecoverable from our own or third party insurers then they will be held liable for full costs.

- Not be used for any purpose that is not covered by our schedule of Insurance, a copy of which will be provided to you on request.

- Not used for carrying goods of any description, passengers for reward, towing, motorsport of any description, pets, driving tuition, or any illegal purpose. For the avoidance of doubt please ask.

-Not be driven in an unroadworthy condition. The vehicle will be provided in good roadworthy condition but should it become unroadworthy it must not be used on the public highway. We should be informed immediately of the circumstance and we will arrange for rectification of the cause. In the event of a breakdown not attributed to the hirer a partial refund or alternative vehicle will be provided. 

- Not be smoked in, all of our vehicles are smoke free and additional charges will be applied to cover the cost of additional cleaning or damage to the interior.

- Be used solely for social, domestic and pleasure.

- Be Securely parked, off road and not in a public car park overnight.

- Be returned to us in an undamaged condition complete with a full tank of petrol, failure to return the vehicle with a full tank of petrol will result in a standard charge of £50 on top of any fuel cost. as well as any equipment that was in the car.  Lost keys will result in a charge of £150 to the card on file.

- Available to collect at the appointment time detailed in the booking letter, failure to arrive on time may result in the hire being foreshortened or may result in cancellation if we are unable to accommodate the late arrival due to other commitments. It is essential to keep us updated about arrival times with as much notice as possible to avoid the above.

- Hired for successive periods of 12 hours, unless otherwise agreed. Hire period will not be extended if the hirer fails to arrive at the agreed collection time. Failure to return may result in an additional hire period being charged.

- Available for a maximum millage of 150 miles per 12 hour rental period, additional millage will be charged at £1.50 per mile unless agreed before.

- Subject to availability. In the event of mechanical breakdown or circumstances beyond our control whereby the car of choice is unavailable we will immediately contact the Customer and arrange to provide a substitute vehicle for the original hire period or an alternative date for the chosen vehicle.

- Available subject to no adverse weather conditions. Should we deem the weather conditions to be unsuitable or dangerous you may choose to arrange a alternative date for hire or a full refund.

- Covered by a fully comprehensive insurance and includes breakdown assistance.

- Provided with a full tank of petrol.

- Supplied fully valeted.

- Available for hire in periods of 12 hours, unless otherwise agreed, at the tariffs in issue at the time of booking. Hire may be extended subject to availability but cannot be hired for any period in excess of 30 consecutive days. 

 In placing a booking, you adhere to this agreement. You also agree to all terms and conditions specified by our insurers, accept that we make take payment from the pre-authorised amount for additional charges and insurance excess in case of an accident and accept the vehicle as described in the accompanying ‘hand over’ documentation.
